Sending a Letter of Representation for a Florida Property Claim
A letter of representation should identify the claim and the professional acting for the policyholder. Sending it to an old email list is not enough to establish that the right insurer received the required documents.
Reviewed November 3, 2026. General information; the policy, dates and circumstances of your loss matter.
Start with the correct insurer and claim
Use the legal insurer name on the declarations page, the claim number if assigned, and the current contact channel provided by that insurer. A brand, insurance group, agency or program administrator may differ from the company that issued the policy.
Our official-source claims directory links to verified reporting and document channels. This older page’s unverified bulk email list has been removed. A channel for reporting a new claim is not necessarily the correct destination for an existing claim’s documents, legal service or a representation notice.
A letter does not replace the signed agreement
Florida section 626.8796 requires a written public-adjuster contract and specifies delivery requirements. It generally requires an unaltered executed copy to the insured at execution and to the insurer or its representative within seven days. It also requires records of receipt and submission. Review the current text and applicable circumstances; a cover letter alone does not satisfy every contract or disclosure requirement. Read the current statute.
Organize a clear submission
- Identify the insured, insured property, policy and claim without guessing missing information.
- Identify the licensed professional, firm and appropriate contact details.
- Include the documents required for the actual engagement and submission.
- List the attachments and explain their purpose briefly.
- Use a secure, verified channel for documents containing personal or claim information.
- Retain the exact submission, timestamp, delivery receipt and any acknowledgement.
If an upload fails or an email is rejected, resolve it promptly through the insurer’s official channel. Do not assume that a sent email proves receipt or that notice to one insurer reaches another.
For homeowners considering help
You are not required to hire a public adjuster. If you do, the engagement should clearly explain the work and compensation. A free initial review is an opportunity to discuss your property and claim; representation begins under a separate written agreement.
Our team can help organize the reporting process and communications when engaged. Continue required notice, cooperation and reasonable protection of the property while arranging assistance. A letter of representation does not extend policy or legal deadlines.

Do not delay emergency assistance, reasonable mitigation or required notice while awaiting a consultation. Public adjusting representation requires a separate written agreement describing services and fees.
